Inside Out Japan User Privacy Policy

MTJ Co., LTD (“Company”) shall collect and handle personal information of users of the Inside Out Japan (“IOJ”) website/application through which individual users and travel agents can create accounts and book Japan travel related products provided by MTJ (altogether, the “Services”) in accordance with Japan’s Act on the Protection of Personal Information (“Act”) and related laws and regulations (collectively, the “Relevant Laws”). Users of the IOJ website/application and the Company’s Services will hereinafter be referred to as a “User” and the personal information, which is defined under the Act, of Users will hereinafter be referred to as “Personal Information”. The Company has created this User privacy policy (“Privacy Policy”) to set forth the Company’s handling of Personal Information in accordance with the Relevant Laws and for the purposes described in this Privacy Policy. The provision of Personal Information to the Company is voluntary. However, if Personal Information of Users is not received or is removed, Users may not be able to use the Services, including any products that may have been booked on the IOJ website/application.

 

This Privacy Policy may be revised from time to time. When a significant revision to this Privacy Policy is made, the Company will clearly notify Users of such revisions and obtain consent if necessary.

Handling of Personal Information

The Company recognizes that Personal Information is private and needs to be adequately safeguarded. As such, the Company will carefully handle Personal Information and will take appropriate measures to safeguard Personal Information from being accessed illegally, lost, accidentally destroyed, unintentionally altered, or leaked. These measures include having the Personal Information encrypted and protected by high security rules, as well as limiting access to only those with permission granted by the system administrator.

 

The Company will limit access to the Personal Information to employees and third parties who have a legitimate purpose to access it, in accordance with the purposes set forth in this Privacy Policy. The Company will ensure that employees and third parties who have legitimate access to the Personal Information understand their obligations under the Relevant Laws and will strive to maintain the accuracy of the Personal Information. The Company has also appointed a Chief Privacy Officer to handle matters related to the Personal Information including the taking of corrective actions in the case of any incidents involving the Personal Information.

 

The Personal Information will be maintained for the length of time required to achieve the purposes set forth in this Privacy Policy, or otherwise in accordance with this Privacy Policy and the Relevant Laws.

Scope of Personal Information Collected

The Company may collect the following information, comprising Personal Information.

  1. Users’ name, telephone number, e-mail address, date of birth, and other contact details provided by the User to the Company through the account creation and other parts of the Services.

  2. Details of purchases made and services used.

  3. Details of inquiries, complaints and similar feedback about the Services.

 

The Company may receive personal information from third parties who are authorized to provide such information to the Company in order to provide the Services, including but not limited to the following. In such cases, the personal information received will be handled as Personal Information under this Privacy Policy.

  1. The Company may receive personal information from travel agents, who are authorized to provide such information to the Company, in order for their clients (“Travel Clients”) to use the Services.

  2. The Company may receive personal information of other individuals from Users, who are authorized to provide such information to the Company, who book products on the IOJ website/application on behalf of those other individuals.

  3. The Company may receive personal information from independent contractors providing services to the Company as Travel Story Tellers (“TSTs”) who may provide the Services to the Users.

Purpose of use of Personal Information

The Company will use Personal Information for the purposes set forth as follows. In the case that the Company intends to use Personal Information for any other purpose, the Company will separately notify Users and obtain consent if necessary.

  1. To enable the creation of accounts so that registered Users may book and use walking tours, chat services and other products that are part of the Services.

  2. To administer and manage the provision of the Services by the Company and TSTs and allow for receipt of the Services by Users.

  3. To prepare User activity statistical data to improve the Services.

  4. To respond to inquiries from Users and provide Users with important notifications and support.

  5. To complete the booking process for Users who purchase various products on the IOJ website/application.

  6. To conduct surveys about the Services or potential new services.

  7. To provide information about the Services, new services, promotions and other events, sweepstakes and campaigns to the Users.

  8. For other purposes incidental to the above purposes.

 

In addition to the above, the Company will use the Personal Information of Travel Clients that has been received from travel agents, for the following purposes.

  1. To pre-populate accounts on the IOJ website/application to help facilitate the account creation process for Travel Clients who have had products on the IOJ website/application booked for them by travel agents.

Provision of Personal Information to Third Parties

The Company will provide Personal Information to third parties, as follows. The Company will not otherwise provide Personal Information to third parties, unless permitted by the Relevant Laws or with the consent of Users.

  1. The Company will provide Personal Information to TSTs to coordinate the provision of products that have been booked by, or for, Users on the IOJ website/application. The information provided will be of the type necessary for the provision of those services, by data transfer. The TSTs will only use the Personal Information provided to them by the Company to provide such services to the Users. TSTs are obligated to handle Personal Information in accordance with Relevant Laws.

 

The Company may also provide Personal Information in the following cases.

  1. When the prior consent of the User is obtained.

  2. When permitted by laws and regulations.

  3. When it is necessary to protect a person’s life, body or property and it is difficult to obtain the User’s consent.

  4. When it is particularly necessary to improve public health or promote the sound development of children and it is difficult to obtain the User’s consent.

 

The Company may entrust all or part of the handling of Personal Information to third parties (including to contractors located outside of Japan) when necessary to achieve the purposes of use set out in this Privacy Policy. When entrusting the handling of Personal Information to a third party, the Company will enter into a contract regarding the handling of Personal Information, prohibit the use of the Personal Information for any purpose other than for the purposes set forth in this Privacy Policy and will supervise the third party to ensure compliance with the contract. Contracts with contractors located outside of Japan will include clauses that are needed to ensure arranging necessary systems to continuously perform measures equivalent to what Japanese companies should perform under the Act.

Account Deletion

When Users delete their account in the IOJ website/application, their Personal Information connected to that account will also be deleted by the Company.

 

Disclosure, Correction, Removal, etc. of Personal Information

Users may have the Company disclose, correct, or remove and delete their Personal Information, by contacting the Company using the contact information below. Once the identification of the User is confirmed, within a reasonable amount of time, their Personal Information will be disclosed, corrected, or removed and deleted pursuant to their request.
