Inside Out Japan Travel Story Teller Privacy Policy

MTJ Co., LTD (“Company”) shall collect and handle personal information of users of the Inside Out Japan (“IOJ”) Travel Story Teller (“TST”) application through which individual users can apply for accounts to become a TST and accepted applicants can use their accounts to provide services as a TST (altogether, “TST Services”) in accordance with Japan’s Act on the Protection of Personal Information (“Act”) and related laws and regulations (collectively, the “Relevant Laws”). Users of the IOJ TST application and the TST Services will hereinafter be referred to as a “TST User” and the personal information, which is defined under the Act, of TST Users will hereinafter be referred to as “Personal Information”. The Company has created this TST User privacy policy (“TST Privacy Policy”) to set forth the Company’s handling of Personal Information in accordance with the Relevant Laws and for the purposes described in this TST Privacy Policy. The provision of Personal Information to the Company is voluntary. However, if Personal Information of a TST User is not received or is removed, the TST User may not be able to use the TST Services.

 

This TST Privacy Policy may be revised from time to time. When a significant revision to this TST Privacy Policy is made, the Company will clearly notify TST Users of such revisions and obtain consent if necessary.

Handling of Personal Information

The Company recognizes that Personal Information is private and needs to be adequately safeguarded. As such, the Company will carefully handle Personal Information and will take appropriate measures to safeguard Personal Information from being accessed illegally, lost, accidentally destroyed, unintentionally altered, or leaked. These measures include having the Personal Information encrypted and protected by high security rules, as well as limiting access to only those with permission granted by the system administrator.

 

The Company will limit access to the Personal Information to employees and third parties who have a legitimate purpose to access it, in accordance with the purposes set forth in this Privacy Policy. The Company will ensure that employees and third parties who have legitimate access to the Personal Information understand their obligations under the Relevant Laws and will strive to maintain the accuracy of the Personal Information. The Company has also appointed a Chief Privacy Officer to handle matters related to the Personal Information including the taking of corrective actions in the case of any incidents involving the Personal Information.

 

The Personal Information will be maintained for the length of time required to achieve the purposes set forth in this Privacy Policy, or otherwise in accordance with this Privacy Policy and the Relevant Laws.

Scope of Personal Information Collected

The Company may collect the following information, comprising Personal Information.

  1. TST Users’ name, address, telephone number, e-mail address, date of birth, and other contact details provided by the TST User to the Company through the TST account application and other parts of the TST Services.

  2. Travel industry related history of the TST User.

  3. Travel License.

  4. Official ID such as driver’s license, residence card, etc.

  5. Photograph of TST User’s face.

  6. Bank account information.

  7. Languages that the TST User can communicate in.

  8. Geographic area that the TST User wishes to operate in.

  9. Details of services the TST User has accepted to provide and the services provided.

  10. Details of inquiries, complaints and similar feedback from the TST User about the TST Services and services the TST User provides to customers of the IOJ website/application.

Purpose of use of Personal Information

The Company will use Personal Information for the purposes set forth as follows. In the case that the Company intends to use Personal Information for any other purpose, the Company will separately notify TST Users and obtain consent if necessary.

  1. To review TST account applications to determine whether applicants are eligible to provide TST services and have an account created.

  2. To enable the creation of accounts so that accepted TST Users may be offered opportunities to provide services such as walking tours and chat services, that are booked by customers on the IOJ website/application.

  3. To administer and manage the provision of the services by TST Users to customer of the IOJ website/application.

  4. To prepare TST User activity statistical data to improve the Company’s services.

  5. To respond to inquiries from TST Users and provide TST Users with important notifications and support.

  6. To conduct surveys about the TST Services or potential new services.

  7. To provide information about the TST Services, new services, promotions and other events, sweepstakes and campaigns to the TST Users.

  8. For other purposes incidental to the above purposes.

Provision of Personal Information to Third Parties

The Company will provide Personal Information to third parties, as follows. The Company will not otherwise provide Personal Information to third parties, unless permitted by the Relevant Laws or with the consent of Users.

  1. The Company will provide Personal Information to customers to coordinate the provision of products that have been booked for those customers on the IOJ website/application which the TST User has agreed to provide via the TST application. The information provided to customers will be of the type necessary for the provision of those services by the TST User, by data transfer.

 

The Company may also provide Personal Information in the following cases.

  1. When the prior consent of the TST User is obtained.

  2. When permitted by laws and regulations.

  3. When it is necessary to protect a person’s life, body or property and it is difficult to obtain the User’s consent.

  4. When it is particularly necessary to improve public health or promote the sound development of children and it is difficult to obtain the TST User’s consent.

 

The Company may entrust all or part of the handling of Personal Information to third parties (including to contractors located outside of Japan) when necessary to achieve the purposes of use set out in this TST Privacy Policy. When entrusting the handling of Personal Information to a third party, the Company will enter into a contract regarding the handling of Personal Information, prohibit the use of the Personal Information for any purpose other than for the purposes set forth in this TST Privacy Policy and will supervise the third party to ensure compliance with the contract. Contracts with contractors located outside of Japan will include clauses that are needed to ensure arranging necessary systems to continuously perform measures equivalent to what Japanese companies should perform under the Act.

 

Account Deletion

When TST Users delete their account in the IOJ TST application, their Personal Information connected to that account will also be deleted by the Company.

Disclosure, Correction, Removal, etc. of Personal Information

TST Users may have the Company disclose, correct, or remove and delete their Personal Information, by contacting the Company using the contact information below. Once the identification of the TST User is confirmed, within a reasonable amount of time, their Personal Information will be disclosed, corrected, or removed and deleted pursuant to their request.
